Event Fees & Guidelines

PREMIUM SEASON — April through November, excluding the week of Derby, PGA Tournament and The Breeders Cup.

Capacity

The maximum capacity inside Muir Chapel Venue is 120 guests. The maximum capacity for outside is 150.

Event Hours

All events must end by 12:00 pm. The last call for beverages will be I I p.m., or one- half hour before scheduled end of event. Also, the music must end at 11:30 p.m. Event clean-up and load-out must be completed by 12:30 a.m., except for pickup of rental items.

Rental includes up to two hours of rehearsal time to be scheduled the evening before the wedding/reception. When two weddings are scheduled for same weekend, Muir Venue and renters will determine a date agreeable with both parties.

Reservation Deposit

A Reservation Deposit equal to 50% of the total rental rate is required at the signing of the Rental Agreement. The reservation deposit is non-refundable. Note: All fees and charges, less the amount of the reservation deposit, are due no later than 60 days prior to the scheduled event.

Damage/Clean-Up Deposit

The Renter shall pay to Muir a $1,000 Damage/Clean-Up deposit, separate from any balance due or other charges. This damage deposit is due to be paid four weeks prior to the event. The damage deposit is refundable should there be no undue damage or clean-up following the event.

Failure to Vacate Premises

The Renter will be charged a $100 per hour fee for any take-down, clearing or clean-up that takes place after the time allotted in the Rental Agreement. When applicable, the Renter will be charged a $100 per hour fee for any rehearsal that extends beyond the time allotted in the Rental Agreement.

Failure to Pay Balance

If the Renter does not pay Balance of the Rental Fee and or Damage/Clean-up Deposit by the date payment is due, the Reservation Agreement will be automatically canceled, and Muir Venue shall retain all payments to date.

Cancellation

Muir Venue has the right to terminate the Renter’s privilege if, at any time during the signed agreement, the Renter fails to adhere to Muir’s policies stated in afore mentioned agreement. If the renter requests a change of the original event date Muir will make every effort to reschedule with an available date. If Renter declines all offers, ONLY the damage deposit will be refunded providing no damage has occurred.

Vendors

All vendors are required to remove their items and leave Venue in the same safe condition as it was provided at the start of the Event Date. Vendors are expected to vacate the venue by no later than 12:30 p.m. Renter will provide Muir Director, Louise Wolford, the vendors names, addresses, and phone numbers two months in advance of event date. Renter will advise Muir Director of all delivery times and removal two weeks prior to event.

Tents

Tents may be rented from a vendor and installed prior to or day of the event but must be removed the following morning. To avoid hitting any utility lines tent placement should be coordinated with Muir Director, Louise Wolford.

Set-up and Take-down of Event

All deliveries, set-up, decorating must be done within the time schedule set forth in the Rental Agreement. The Renter must coordinate with their vendors to ensure these are removed within allotted time. Due to time frame, some vendors may have to remove the following day before 12 noon.

Alcoholic Beverages

Muir Chapel Events, LLC requires use of an approved license vendor for serving at event. Renter is responsible that any excessive amounts of alcohol being served to their guests. A licensed caterer or bartender shall provide the service and advise renter of any person becoming intoxicated on the premises. If person is driving their vehicle, it may be left on premises until the following morning and removed by 12 noon. The last call for beverages must be no less than one-half hour before the scheduled end of the event. Alcohol should not be served longer than a five (5) hour period. Alcohol may be served to only those guests over the age of twenty-one (21).

Music

Music by disc jockey or band should be played at a volume appropriate to the Venue. Since there are neighbors close by the sound should not exceed seventy decibels. All outside music will stop at 11:00 pm on Friday and Saturday. All outside music will stop at 9:00 pm on Sunday through Thursday. Vendor should provide extension cords with cover plates (if accessed or in path of guests. Tape is not permitted on hardwood floors, concrete or walls. Locations of equipment should be discussed with Muir Director, Louise Wolford. Rugs should be used under equipment set-up inside.

Dressing Rooms & Furniture

Renter is responsible for leaving the areas free of debris and returning furniture to their original space after the conclusion of the event. The chairs in the Chapel are not to be used outside the Venue.

Decorations

      • The Muir Director, Louise Wolford, must approve all decorations.

      • No decorations may be attached to or hung from trees or other plants.

      • Decorations may not be attached (stapled, tacked, taped, nailed, glued, or adhered) to Muir venue structures (fences, building).

      • No use of confetti, sparklers, bird seed or glitter.

      • The use of bubbles is limited to outdoor areas.

      • Wax candles must be enclosed in glass containers inside the building. Battery operated candles may be used on deck and patio areas.

      • All decorations must be removed from the event areas by 12:30 a.m. the same night of the event.

      • Muir venue is not responsible for decorations, rentals or any other party/guest’s personal items left behind. All costs associated with the clean-up of decorations will be deducted from the damage deposit. Init.

    Smoking/Pets/Fireworks/Firearms.

    Smoking is not permitted inside the Muir Chapel. Smoking is allowed on deck and below patio area.

    Additional clean-up fees will be charged for picking up litter outside associated with smoking.

    No pets are permitted on the grounds, except support animals.

    Renter is not permitted to use firework, sparklers, or an open flame at the Venue or on surrounding property without permission from the Muir Director, Louise Wolford. No guns or deadly weapons shall be permitted to be in the possession of any guest or Renter on the premises for the duration of the event. Violation of these conditions voids the Venue agreement and may result in notifying law enforcement or closing the event in its sole discretion.

    Overnight Parking

    Guests shall be permitted to leave vehicles overnight, if necessary, but they should be removed by 12 noon the following day. Vehicles remain at the sole risk of the owner as Muir Venue is not responsible or liable for any loss or damage to vehicles left overnight. Muir Venue reserves the right to have vehicle towed at the owner’s expense after 12 noon the following day.

    Damage to Venue and Surrounding Property

    Renter is responsible for all damages to the venue and surrounding property caused by Renter’s guests, invitees, agents, event vendors or employees. Muir Director, Louise Wolford, shall inspect the venue after the end of the event date to determine and document whether any damage was sustained to the venue, grounds, or surroundings. Muir Director shall give notice or email notice to Renter of any damage resulting from use and occupancy of the property. The parties agree the Muir Chapel Event, LLC Director, Louise Wolford, may repair and remedy any damage at Renter’s expense, and may use the entirety of the security deposit, and Renter shall be liable for any damages in excess of security deposit.

    Muir Chapel Events. LLC Liability

    Renter acknowledges and agrees that Muir Chapel Events, LLC shall not be responsible for any injuries caused to any person or property during the Event and occupancy of the premises by the Renter, service providers, caterers, sub-contractors, and guests. Further, Renter agrees to use all reasonable efforts to operate and use the premises in a safe and responsible manner.

    Renter agrees to indemnify and hold Muir Chapel Events, LLC and its members, employees, successors, agents, and other representatives harmless from all losses, damages, liabilities, deficiencies, claims, actions, judgments, settlements, interest, awards, penalties, fines, or expenses, including reasonable attorneys’ fees, incurred by Muir Chapel Events, LLC from any third-party claim. Muir Chapel Events, LLC shall not be held responsible for any los or damage, including damage to Renter’s personal property nor the personal property of Renter’s guests, event vendors or employees.

    Liability Insurance (Special Event Policy)

    enter must obtain and provide a copy of the liability insurance policy in the amount of $1 ,000.000. for the event satisfactory to Muir Chapel Event, LLC Director, Louise Wolford. The policy should reflect the total term of use and occupancy by the Renter. The policy shall name Muir Chapel Events, LLC as an additional insured and should contain a provision by which the insurer agrees that policy shall not be canceled except after thirty (30) days written notice to Muir Chapel Events, LLC. Proof of such policy or a certificate thereof, shall be provided to the Director by Renter at least (30,) days prior to the event. If Renter fails to perform any of its obligations under this section, Muir Chapel Events, LLC may terminate this agreement and Renter shall not be entitled to a return of reservation fee.
